BOOKING TERMS AND CONDITIONS
These Terms and Conditions apply to bookings at the caravan site owned by Lucy Hollinshead (“Owner”). The Terms and Conditions form the basis of your contract with the Owner so please read them carefully before making a reservation.
PLEASE NOTE WE NO LONGER ACCEPT RV UNITS, due to their size, and the layout of the site. Please contact Oakwood if you are concerned about the size of your vehicle.
A NOTE ON ELECTRIC VEHICLES: THESE VEHICLES ARE HEAVY. DURING WET CONDITIONS, YOU WILL BE ASKED TO PARK ON HARD GROUND, WHICH MAY NOT BE NEXT TO YOUR ACCOMMODATION.
The management reserves the right to refuse entry if vehicles and/or occupants are deemed unsuitable.
1. Booking and Payment of Booking Deposit
A booking is made by completing and submitting the Booking Form and paying the Booking Deposit.
The Customer must pay the Booking Deposit to the Owner at the time of booking.
Once the Owner has received the Booking Form and the Booking Deposit the Owner will send the Customer a Booking Confirmation in the form of a Deposit Paid or Full Payment email. At this point a binding contract exists.
2. Payment of Fees
The Customer must pay the balance of the Fees due to the Owner, 30 days prior to the stay, or immediately if less than 30 days before stay.
3. Cancellation of Booking
If the Customer cancels the booking more than 30 days before the Start Date the Customer will be refunded, less the deposit, or a credit will be issued.
If the Customer has not arrived at the Site by 8pm on the Start Date and has not been in contact with the Owner to explain the delay the Customer will be deemed to have cancelled the booking and the Owner shall be entitled to retain all monies.
If the Customer cancels the booking by giving less than 7 days’ notice the Owner shall be entitled to retain all monies.
4. Owner’s obligations during the Licence Period
Please note, phones are NOT manned after 8pm
The Customer may use the paths and drives leading to the Pitch to go to and from it.
The Customer may use such parts of the Site as the Owner has designated for shared use subject to the payment of any additional fees (listed at time of booking)
5. Customer’s obligations during the Licence Period
The Customer agrees with the Owner:
To arrive strictly after 2pm on the chosen arrival day.
To depart strictly no later than 12noon on the day of departure from the site, any deviation from these times will incur an extra nightly charge.
To position the caravan as directed by Site staff and ensure that tents and other items (excluding guy ropes) are at least 6 metres apart from other tents.
To use the Pitch in a reasonable and careful manner and to keep the Pitch clean and tidy at all times.
To use the Site facilities in a reasonable and careful manner.
To place all refuse in the receptacle(s) provided for the Pitch by the Owner.
That any caravans, tents or other items placed on the Pitch will not exceed the number allowed for in the breakdown of the Pitch Fee.
That the Pitch will be occupied by no more than the number of people allowed for in the breakdown of the Pitch Fee.
That any vehicle brought onto the Site shall be roadworthy and have a valid tax disc and shall be driven only by a driver holding a full current driving licence.
Not to drive any vehicle on the Site after 11pm or before 8am.
Large groups must telephone before booking
6. Not to do anything which may be a nuisance to or cause damage or annoyance to the Owner or other occupiers of the Site.
Not to cause or permit any dangerous or inflammable substance to collect in or on the Pitch apart from those designed for use with outdoor cooking equipment.
Not to use the Pitch for any illegal or immoral purposes.
Not to play any musical instrument or another audio device after 11pm or before 8am and to keep noise to a minimum between those hours.
Unruly noisy behaviour, including dogs, will not be permitted, guests will be asked to leave, with no refund.
7. Dogs are permitted on site provided they and their owners adhere to the rules:
Dogs MUST be on a lead at all times
Fouling MUST be cleaned up immediately
Digging the grass is not allowed
Livestock grazes the surrounding area, dog owners WILL be reported to the police if found to be worrying livestock.
Owners are permitted to use the new woodland next to the site to exercise their dogs.
Noisy dogs spoil other people's holiday, if your dog is noisy, (defined by complaints from more than one guest ) you will be asked to leave, with no refunds.
Kennelling may be available if you need it. Please contact the manager.
8. Leave the pitch as it was found
Departure is strictly before 12 noon on the final day.
At the end of the Licence Period remove the Customer’s belongings from the Pitch and leave the Pitch clean and tidy so that the Pitch is ready for immediate re-occupation.
To comply with any regulations which the owner of the Site or its agents may from time to time make in the interests of good management of the Site.
Not to leave any belongings, place any items or hang any washing in the communal areas of the Site except in areas designated for that particular purpose.
To park vehicles only where the Owner may designate.
9. General Housekeeping On Site
Please do not charge your car at the caravan hook ups, doing so will result in the termination of your stay with no refund.
No Gazebos permitted
No washing lines permitted
Unruly noisy behaviour, including that by dogs, will not be permitted and guests will be asked to leave with no refund.
No littering
10. Termination
If there has been a substantial breach of any of the Customer’s obligations or if the behaviour of or level of noise generated by the Customer and his guests is unacceptable to the Owner may with immediate effect terminate the Customer’s licence to use the Pitch and the Pitch must be vacated and no refund will be given.
11. General
Any obligation on the Customer in these Terms and Conditions not to do an act or thing includes an obligation not to permit or suffer another person to do such act or thing.
To the fullest extent permissible by law the Owner’s liability for any loss or damage suffered by the Customer or members of his party shall be limited to that which arises out of the negligence of the Owner’s employees sub-contractors or agents.
Whenever there is more than one person comprising the Owner or the Customer their obligations may be enforced against all of them jointly and against each of them individually.
The Owner and Customer do not intend that the contract between them should be enforceable by any person solely by virtue of the Contracts (Rights of Third Parties) Act 1999.
An obligation in these Terms and Conditions to pay money includes an obligation to pay Value Added Tax in respect of that payment.
12. Definitions
“Booking Confirmation”- means the confirmation of booking provided to the Customer when a booking has been accepted;
“Booking Deposit”- means £30
“Booking Form”- means the caravan or tent pitch booking form completed by the Customer through Oakwoods website
“Customer”- means the person booking the Pitch;
“End Date” - means the last day of the Licence Period;
“Fees” - means the fees specified in the Booking Form;
“Licence Period” - means the duration of stay specified in the Booking Form;
“Pitch” - means a touring caravan pitch of a type identified in the Booking Form;
“Site” - means the caravan site known as Oakwood Campsite
“Start Date” - means the first day of the Licence Period.
This contract between the Owner and the Customer shall be governed by the law of England and Wales.
